From Setup to Cleanup: What to Expect When You Rent from JMS Tents and Party Rentals

We’ve put together this insider’s guide to walk you through everything you need to know—from setup to takedown—so your celebration is nothing but smooth sailing (or tenting, in our case).
Before We Arrive: Get Party-Ready!
Before our crew shows up with your dream tent, there are a few things to take care of to keep everything running safely and smoothly.
Site Prep Checklist:
Call 811 – Arizona Blue Stake can mark underground utility lines. They don’t usually cover backyards, so if you know where your sprinkler lines, pool plumbing, gas or electric lines are, mark them in advance.
Turn off sprinklers – Keep them off from installation to takedown (unless you want a surprise sprinkler show mid-party).
Mow the lawn & clean the yard – Yes, that includes pet presents!
Flat is fab – Dance floors and tables need a level surface. Bumpy lawns and uneven ground? Not so groovy.
Clear the air – If you’ve got string lights or tree branches in the way (our tents reach up to 18 feet tall), trim or remove them.
Pets + Party = Chaos – Please secure dogs and other outdoor pets during setup and pickup.
Open sesame! – Provide the gate code, unlock RV gates, and move vehicles for a clear path.
Pro tip: Our tent stakes go into the ground, and while we’re super careful, unmarked lines are a gamble. We do our best to avoid sprinkler hits (less than 1% of the time), but marking helps us help you.
Power Up the Fun
All our lighting is energy-efficient LED, so no worries there! But if you're renting evaporative coolers, heads up—they’re thirsty for power.
If you're using more than a few, you’ll need:
A generator, or multiple breakers to avoid flipping the switch on your own party.
And while we love a good BBQ as much as anyone, please keep fire pits and grills at least 75 feet away from the tent. Smoke stains the vinyl, and that’s no fun for anyone.
During the Party: Keep the Vibe High and the Tent Safe
You're all set up, the playlist’s rolling, guests are vibing—but don’t forget these quick care tips:
- Hang with care – Use zip ties on the tent frame for your décor and lights. Skip the tape or tacks—they don’t mix well with our canopy.
- Don’t DIY the dance floor – If it needs to move, let us handle it. Trying to shift it yourself can damage the pieces.
- Watch the weather – If rain is in the forecast and your dance floor isn’t fully under the tent, use the tarp we provide to keep it dry.
- Hands off the ropes – Please don’t loosen or move the ropes and ratchet straps. They’re what keep your tent from becoming a giant kite!
- Hold down your linens – Use plastic linen clips, not tape or staples. Mother Nature gets a little breezy sometimes.
After the Party: The Grand Wrap-Up
Your event was a blast (we knew it would be). Now it's time to prepare for pickup. Here's how to make takedown quick and easy:
- Keep sprinklers off until we’ve packed up.
- Take down decorations carefully (diagonal pliers > knives!).
- No flood zones – Please don’t dump coolers or water under the tent; we need dry ground to roll it all up.
- Stack ‘em like we left ‘em – If you didn’t opt for our setup/takedown service, stack chairs (seats up!) on the blue rolling dollies provided.
- Linens go in the laundry bags, not back on hangers.
- Rinse & return tableware (glassware, silverware, china) to totes—we’re not asking for sparkle, just no leftovers!
- Move other companies’ equipment out from under our tents.
- Decor down, smiles up – Let’s wrap this thing with ease
